Principal Responsibilities:

We are seeking a dynamic and highly motivated Executive Assistant to support the President and CEO, and three other members of the Executive Team

KEY RESPONSIBILITIES

  • Manage and adapt schedules, compose and prepare correspondence, and arrange complex agendas.
  • Assist in managing the CEO's time, ensuring his schedule is maintained efficiently.
  • Manage calendars and expenses for other members of the Executive Team.
  • Facilitate communication and coordination between senior leadership and internal stakeholders.
  • Complete projects and special assignments, establishing objectives, determining priorities, managing time, gaining cooperation with others, monitoring progress, and problem-solving.
  • Manage logistics and attend all Board meetings, including sub-committee meetings, prepare and distribute materials for meetings, and take minutes of meetings for Board approval.
  • Exercise superb judgment in prioritizing schedules and tasks.
  • Ensure successful planning and execution of meetings, conferences, and activities, including Board and donor meetings.
  • Track and oversee the Executive Office budget and expense reporting, process invoices, and reconcile petty cash disbursements and corporate card transactions.
  • Maintain proper levels of office supplies for support services to function efficiently.
  • Provide support for CEO in other areas as required.
  • Ability to work occasional evenings as required.

Minimum Qualifications:

  • Bachelor's degree or equivalent experience.
  • 5+ years' experience supporting executive-level staff, preferably in a non-profit.
  • Strong oral and written communication skills and attention to detail.
  • Excellent computer skills and proficiency in Microsoft Office Suite. Working with Nexonia preferred .
  • Professionalism and the ability to work under pressure while maintaining equilibrium.
  • Self-motivated, detail-oriented, extremely organized, and adept at juggling multiple priorities.
  • Excellent customer service skills including the ability to build relationships with diverse stakeholders, including Board members, donors, elected officials, community stakeholders, and internal stakeholders.
  • Demonstrated skill handling matters in a professional, courteous, and friendly manner.
  • Effective decision-making skills.
  • High-level stakeholder engagement and collaboration skills.
  • Experience with scheduling, project management, managing daily activities, and delivering results in a cross-functional environment.
  • Proven ability to handle confidential information with discretion.
  • Ambitious and driven to excel with an interest in non-profit management.

Salary:

$75,000 - $85,000
